Information We Collect
We collect personal information through three main channels: (1) Contact and rental analysis forms — name, email address, phone number, property address, and your role (owner or tenant); (2) Rental application forms — full legal name, date of birth, current and previous addresses, employment details, income, references, and consent to a credit and background check; (3) General website use — anonymised analytics data such as pages visited and browser type, which does not identify you personally.
Why We Collect It
We use your personal information to: respond to inquiries and provide rental analysis proposals; process and evaluate rental applications; prepare and manage tenancy agreements; coordinate maintenance, inspections, and owner reporting; comply with Alberta's Residential Tenancies Act and other applicable legislation; and communicate important updates related to your tenancy or managed property.
How We Store It
Personal information is stored securely on servers located in Canada. We use industry-standard safeguards including encrypted transmission, access controls, and regular security reviews. We retain information only as long as necessary for the purposes described above or as required by law, and securely dispose of it when it is no longer needed.
How We Share It
We do not sell your personal information. We may share it with: credit reporting agencies and background check providers (with your consent, for rental applications); maintenance contractors and tradespeople (limited to what is necessary to complete a work order); our property management software provider, Buildium, which processes data on our behalf under a data processing agreement; and government authorities where required by law.
Your Rights Under PIPA
Under Alberta's Personal Information Protection Act, you have the right to: request access to the personal information we hold about you; request correction of inaccurate or incomplete information; withdraw consent to collection or use (subject to legal or contractual obligations); and request deletion of your information where we are not legally required to retain it.
